About This Role
The program coordinator will be responsible for developing effective programs, overseeing activities and details, and measuring overall success. Their duties will consist of managing various administrative tasks, tracking the budget, and ensuring that the program meets company goals. What is the role of program coordination?
They are tasked with securing funding for a budget and managing the project's budget. They also cultivate positive relationships with external parties including vendors or service providers. They will communicate with media outlets, organize meetings, and update relevant news and social media platforms and websites.

The Role
Based in Mexico City, the Team Coordinator is a key contributor to supporting the administrative 
and operational functions of an ambitious and complex transformation operating model program. 
This is a pivotal role for assisting the program team in day-to-day activities, ensuring efficient and 
effective implementation of the program operations. This would include being responsible for 
facilitating the operations and logistics of specific initiatives within the program, such as onboarding 
and training initiatives.
Key Responsibilities:
Program Coordination Support
• Provide administrative support to the Transformation Lead and key team members
• Schedule and coordinate meetings, book meeting rooms and refreshments for program 
team meetings
• Owns organization of logistics for offsite working sessions
• Builds strong working relationships with T&O Executive Assistants to enable timely 
scheduling
• Assist with the preparation, coordination and dissemination of project documentation, 
presentations, and meeting materials
• Maintain the Program SharePoint and Project Documentation systems for easy access to 
documents
• Proactively assist in managing the project calendar and ensure timely communication of 
deadlines
• Maintains the Program Raid log, distributes and follows up on actions
• Onboarding of new program team members including IT requests 
• Help in organizing team events and workshops
• Maintain confidentiality of all sensitive program information
Training Scheduling and Coordination
• Organize, schedule, and coordinating times and dates of all aspects of program training 
sessions
• Ensure the timely distribution of necessary pre-read materials
• Manage the training calendar, ensuring that all sessions are clearly communicated to
delegates and relevant stakeholders in a timely manner
• Communicate training schedules, session content, and logistics to all participants and ensure 
they receive reminders prior to events
• Serve as the primary point of contact for all queries from delegates relating to the training 
schedule
• Maintain meticulous records of training sessions, attendance, completions, and participant 
feedback
• Distribute, collect, and analyze post-training feedback forms to gauge the effectiveness of 
the training sessions
Attributes:
Skills and Qualifications
• Minimum two year as an administrative assistant/coordinator in a similar role, ideally 
including assisting a major program or training team
• Proficient in all Microsoft Applications within role (Outlook, SharePoint, PowerPoint, Excel, 
Word)
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to prioritize and multi-task
• Can handle sensitive information with the highest degree of integrity and confidentiality
Desirable
• Working knowledge of Smartsheet
• Highly resourceful team player with the ability to be extremely effective independently
• Can demonstrate initiative, flexibility, and the ability to adapt to changing priorities and 
deadlines
• Approachable, outgoing, and empathetic
